The Inside Sales Administrator is responsible for providing customer service, clerical and administrative support as well as setting up and conducting phone and video surveys, the development of the inventory, pricing/rating of the move, and effective closing of the lead. Marketing activities center around the development of new lead opportunities for First Class across all business lines. The Inside Sales Administrator will report directly to the sales manager and offer reliable support to the sales team and help improve efficiency as sales volume increases. Will generate and manage leads, set appointments and conduct phone and virtual surveys and/or oversee virtual survey vendors. The call center manages both inbound and outbound communications (phone calls, emails, sms, & chat) for First Class’ prospective and current customers (B2C, B2B, Military, etc.).

  • Essential Duties and Responsibilities
  • The Inside Sales Administrator is responsible for:
  • • Receiving, directing and relaying inbound calls and fax messages.
  • • Managing proprietary CRM software (QLAB) that manages leads and appointments received from call center or in-house lead sources.
  • • Facilitating a positive work atmosphere and participating in team building exercises
  • • Maintaining strict confidentiality in performing the duties of the Inside Sales Administrator, specifically related to prospects, customers, pricing, accounting and revenue information, etc.
  • • Completing all tasks within a timely fashion on occasional Saturdays as needed.
  • • Explaining services and charges to clients
  • • Work together with and provide support for outside sales
  • • Assist with widening brand recognition through the use of the social media and traditional means of advertising
  • • Perform outbound emails and calls, as well as inbound lead generation and follow-up
  • • Conduct phone or video surveys based upon the customer’s desire. The survey will be the platform for developing the inventory and the applicable pricing.
  • • Present the pricing and close the business.
  • • Achieve First Class’ defined closing ratios.
  • • Manage workflow for determining in-house verse third party usage for video surveys.
  • • Audit and report virtual survey weight and cube estimates verses actuals
  • • Convert internet leads into appointments via call backs and selling them on the advantages of using First Class.
  • • Identify and cold calls potential decision makers in multiple business lines of organizations.
  • • Adjust content of initial sales presentations by studying the type of customer.
  • • Uses information on the prospects’ initial responses to ask questions about their needs and timeline for buying.
  • • Adjust status of qualified leads to appropriate disposition (i.e. “Booked” or “Lost” or “Pending”)
  • • Make recommendations to sales team/management based on investigating potential customer’s problems, developing solutions.
  • • Maintain professional and technical knowledge by reviewing professional publications, establishing personal networks, participating in professional societies.
  • • Submit activity and results reports, such as daily call reports, weekly work plans, and monthly and annual territory analyses.
  • • Call and manage leads from Salesforce, PRM Insight, AMP eNutrure list, LMP, business journal, Hoovers, Duncan Duo, GPO membership, web leads and other list as assigned
  • • Call on realtors, mortgage lenders, interior designers, staging companies, senior move managers, ALFs, residential construction companies, developers, 3PL's, other moving companies, trucking companies, etc etc.
  • • Call commercial realtors, architects, waste removal, construction companies, commercial bankers, etc.
  • • Assist with LinkedIN, FaceBook, Twitter, Instagram, etc.
  • • Contributes to team effort by accomplishing related results as needed.
  • • Explores opportunities to add value to job accomplishments.
  • • Assisting in other sales leads and business information management tasks as needed.
  • • Serve as the primary interface between the customer and First Class.
  • • Answer all inbound phone calls, emails, SMS Text, and chats within the stated SOP’s for First Class.
  • • Assist with customer data within the respective Customer Relationship Management programs and update in a timely manner.
  • • Actively engage in outbound phone, email, text, etc communication with customers within the stated SOP’s for First Class.
  • • Pricing potential moves over the phone.
  • • Manage paperwork input for all transaction types.
  • • Proactively contact customers to provide updates.
  • • Follow-up on customer inquiries minimally 5 times or as defined by First Class’ SOP’s
  • • Schedule in-home surveys for outside sales staff and phone/video surveys for Insides Sales and Marketing Director.
  • • Other functions as deemed necessary.

Education Requirements

  • Education and/or Experience:
  • Bachelor’s degree form a four-year college or university; or two years related experience and/or training; or equivalent combination of education and experience. Must be proficient in the use of standard software packages, including Microsoft DOS, Microsoft Excel, Microsoft Outlook, Microsoft Word and become proficient in proprietary or industry pricing and rating software such as QLab online, STS/Camis, Mover’s Suite.
