The Operation Client Service Assistant (“OCSA”) will be responsible for providing administrative support for the operations and client services team members as well as other departments when needed. OCSA will work in the Tampa, FL office. Duties will vary with business needs but will primarily consist of data entry, basic communications to shippers/clients, answering and directing phone traffic, creating, filing, scanning and reviewing paperwork.

  • OCSA Essential Duties and Responsibilities
  • • Answer and direct phone traffic
  • • Assist with setting up physical and virtual surveys
  • • Assist Long Haul Dispatch with pulling in shipments from QPD to MoverSuite
  • • Entering in pack dates and any other info that doesn’t get transferred; weight changes; destination agent changes
  • • Liaison between Tampa office and Safety Director; scanning logs, filing safety docs; mailing out/ Fedex items as needed (drug tests, physical forms, new driver packets, etc).
  • • Assist w/ Accounting and dispatch in contacting drivers when certain paperwork is needed
  • • Assist w/ Commercial paperwork; Entering handling services, and helping to maintain Windfall Facilitate information flow and orchestrate services working directly with coordinators, sales, project managers, operations, crew members, and clients to effectively plan and implement services
  • • Document all details and communications relating to each shipment such as services, timelines, pricing, requests, changes, and client feedback
  • • Generate crew/drivers paperwork for commercial, military, corporate, and COD shipments and ensure all necessary documents are included
  • • Scan and file hard copies of shipment documents
  • • Assist coordinators as needed with daily duties
  • • Processing supporting documents for National Account, Military, Consumer and COD shipments.
  • • Assist claims department with documentation and data entry as needed.

Desired Skills

  • Top applicants will be skilled verbal and written communicators with excellent presentation, customer service, time management, and computer skills with experience providing support to a busy office environment. This is an in office positon.. Relocation is not provided.
