The Client Services Assistant Coordinator (“CSAC”) will be responsible for providing administrative support for the client services team members as well as other departments when needed. CSAC will work in the Tampa office as the local liaison for remote and in office team members. Duties will vary with business needs but will primarily consist of data entry, basic communications to shippers/clients, answering and directing phone traffic, google searches, researching, creating, filing, scanning and reviewing paperwork.

Responsibilities

  • • Answer and direct phone traffic
  • • Facilitate information flow and orchestrate services working directly with coordinators, sales, project managers, operations, crew members, and clients to effectively plan and implement services
  • • Receive, review, enter, and confirm project details, and services as requested by coordination team members
  • • Manage data, spreadsheets, service agreements, and other documents
  • • Document all details and communications relating to each project including (but not limited to) services, timelines, pricing, requests, changes, and client feedback
  • • Generate crew/drivers paperwork for commercial, military, corporate, and COD shipments and ensure all necessary documents are included
  • • Process completed paperwork and verify all requirements have been met prior to internal submission
  • • Scan and file hard copies of shipment documents
  • • Assist coordinators as needed with daily duties
  • • Enter orders, track notes, set up surveys and collect payments as needed.
  • • Track timelines and document progress relative to established benchmarks
  • • Thoroughly communicate with all parties throughout relocation services to develop/confirm service requirements and client expectations
  • • Conduct all administrative tasks given by ownership, management, senior coordinators or sales as needed.

Qualifications
